Ocean Freight Co-ordinator


Location: Southampton Reports to: Ocean Manager Hours: 37.5 hours per week over 5 days Contract: Full time, permanent Salary: Competitive, dependent on experience

About the role

We are looking for an Ocean Import Coordinator to join our Ocean department and take ownership of a portfolio of import clients.

This is a genuine start to finish role. You will handle your jobs from first contact through file creation, paperwork, customs entries, invoicing and KPI reporting. Nothing gets handed off halfway, which means you build real relationships with your clients and you see the commercial result of doing the job well.

Customs entry knowledge is important here, as clearance on ocean imports sits with you. Alongside that you will own invoicing and profitability on your own files, so you need to be comfortable with the numbers as well as the operations.

What you will be doing

Ocean import operations

  • Take day to day responsibility for customer service delivery to ocean import customers

  • Run jobs start to finish, including communication, file creation, tying up paperwork, customs entries, invoicing, KPI management and reporting

  • Complete customs clearance on ocean imports

  • Follow up and resolve operational issues and customer service concerns raised by clients

Customer service and performance

  • Manage and maintain customer KPI expectations

  • Establish and maintain strong relationships internally and externally

  • Record and report on service levels, business trends and queries raised

Commercial ownership

  • Take responsibility for invoicing and profitability across your files

  • Promote business development by following up opportunities within existing accounts through telephone sales, prospect follow up and quotations

  • Contribute to ongoing operational development and cost saving measures

  • Keep up to date with market trends, customs updates and Mapcargo products, services and news

What we are looking for

  • Customs entry knowledge

  • Excellent communication and organisational skills

  • A mature and professional manner

  • Confidence with computers, including Excel, CRM systems and BoxTop

  • Genuine enjoyment of working with customers and building relationships

  • The ability to work well in a target driven environment

Who you will work with

Internally: Ocean Manager, company managers and supervisors, operations managers through to director level, operations staff, sales and accounts teams Externally: key client shipping and logistics supervisors and managers, road hauliers, co-loaders and transport providers

How you will be measured

  • Delivery against agreed targets

  • Gross profit growth and client retention

  • Quality of reporting on service levels, business trends and customer queries
